COMMUNICATIONS POLICY

Please note: This site will not give, sell, or otherwise transfer addresses maintained by such website or online service to any other party for the purposes of initiating, or enabling others to initiate, electronic mail messages.

Prior to submitting any type of  communication regarding a member (or a member’s family) medical situation, please make sure you first clear it with that person or if unable, through the immediate family.

… Posting on Facebook (church page or your own page): In addition it is good practice to be sensitive regarding posting deaths or serious injury situations without first making sure that it is okay with the family, who will then know if most or if all the family has been notified.

Complying with these two general rules will  help alleviate any problems in the area of church communications.

COMMUNICATION GUIDELINES AND PROCEDURES:

The purpose of this document is to establish guidelines for all communications that reflect our values, and to ensure effective procedures that can provide timely information
about our activities, events, and programs within the church and community. Purpose of the communication team is to set guidelines as well as encourage participation of all church members in order to improve and enhance our overall communication effort (internal as well as external communications). All articles are subject to editing for clarity, grammar and punctuation.
Internal/External Publications
Privacy:
Personal email addresses, phone numbers, as well as personal email addresses of ministers of the gospel, shall not be published or provided to anyone without permission. Inclusion of an email address in the body copy of a submission will be considered implied permission.
Church Name:
The legal, proper, and correct way to write the name of the church is as follows: Gordon’s Chapel United Methodist Church, or Gordon’s Chapel UMC. This may be
shortened to Gordon’s Chapel or GCUMC. Please note when writing the full name, the apostrophe is always used.
Bulletin/Projection:
Groups/Individuals inside as well as outside the church must compose and submit information to church secretary, Linda Black (lsblackatbellsouthdotnet). Linda will submit projection information to Evelyn Wages (projection). Information should be submitted one week in advance, with absolute deadline to be Thursday a.m prior to Sunday’s publication. Any date/time/cancellations should also be submitted to Linda Black as soon as possible in order to correct in the next publication. For those who do not have access to a computer, individuals/groups should compose and submit the information by leaving it in the church secretary mailbox located in the hallway downstairs.
Flower Calendar:
Groups/Individuals inside as well as outside the church must reserve dates on the flower calendar with Rita Stephens (ritapstephens3atyahoodotcom). Dedication information should be submitted to Linda Black at the latest on Thursday a.m. prior to Sunday’s publication.
Ads:
Ads in local newpaper/radio station: Compose information and submit to Paulette Cooper (sp491cooperatbellsouthdotnet) who will submit in the Madison County Journal and Athens Banner Herald or any other publication upon request.
GCUMC Email:(for funeral information – please see instructions below)
Groups/Individuals inside the church as well as outside the church should compose and submit to Paulette Cooper (sp491cooperatbellsouthdotnet). If someone does not have access to email, please contact Paulette Cooper who will compose and submit information to facebook and email to those not on facebook.
Newsletter:
Groups/Individuals inside the church as well as outside the church should compose and submit information to Bruce Thaxton. Please let Bruce know either by submitting a newsletter submission form or in the body of your email whether it is urgent, or can wait until the next newsletter, or if it is general information to be used as a filler.
Church and Community Center Reservations:
Reservations for the church and community center should be made by contacting the following individuals (no exceptions):

For availability of dates, please check the calendar located in the hallway downstairs. Change of dates/times as well as cancellations, should be communicated as soon as possible to these designated individuals.
SPPR: In order to communicate praises or concerns regarding staff development, i.e., the enhancement of the pastor and/or existing staff and the recommendation for altering the staff as needed, the members of this committee are as follows: Lay Leader,Ex Officio, Admin. Council Chair ; Lay leader to Annual Conference; chair members (see conference report)
Signs:
Community Center and church Sign: Please call Paulette Cooper or email at sp491cooperatbellsouthdotnet at least 3 days in advance with the message that you would
like on the sign. Please keep the message as brief as possible.
Funerals:
Communication only regarding funeral notices (to possibly include meal instructions for feeding the family – if applicable):
Sympathy and funeral notice information should be submitted to Paulette Cooper at sp491cooperatbellsouthdotnet. Paulette will then compose and post to facebook group and email to those not on facebook.
For Sound System during funerals: Contact Daniel Bond
Special Note to family members of the deceased who are buried at GCUMC cemetary: We request that the funeral home notify Kenny Bradley 24 hours prior to their arrival to prepare the gravesite.
In order to not publish inappropriate information on our church facebook page, it is our policy to submit your message to one of the administrators listed below who will then review the message and edit if necessary. If you do not have access to facebook and would like to post something on facebook, you should email your information to Paulette Cooper at sp491cooperatbellsouthdotnet.
